Description

The UltimatePM Program series is a six-session online trainer-led program covering the core operational areas of Property Management. Each topic is delivered in one focused 90-minute session, creating a practical and engaging learning experience for every participant.

The program explores the six key areas that drive performance across an Agency: Leasing, Rent Collection and Arrears Management, Routine Inspections, Maintenance and Repairs, Rent Reviews and Tenancy Changes, and Ending a Tenancy.

UltimatePM Program provides Property Managers with structure and practical understanding to improve consistency, streamline processes, and strengthen communication across the full tenancy lifecycle. It is ideal for onboarding new Property Managers or supporting existing team members who want to refine their systems and deliver high-quality outcomes for Landlords and Tenants.

 

Course Format

This course is instructor-led and delivered in six (6) individual 90-minute zoom sessions.

Week 1

  • Tuesday, Session 1 - Leasing 
  • Wednesday, Session 2 - Rent Collection & Arrears Management
  • Thursday, Session 3 - Routine Inspections

 

Week 2

  • Tuesday, Session 4 - Maintenance & Repairs
  • Wednesday, Session 5 - Rent Reviews & Tenancy Changes
  • Thursday, Session 6 - Ending A Tenancy

Learning Outcomes

Topic 1: Leasing

  1. Understand and interpret your leasing data in order to make data-driven improvements
  2. Manage the landlord relationship through effective communication during the key stages of the leasing process
  3. Gain quality feedback from prospective tenants
  4. Process applications within 24 hours
  5. Set tenants up for a successful tenancy through an effective onboarding experience

Topic 2: Rent Collection

  1. Understand the difference between rent arrears and a rent collection problem
  2. Work with your tenants to make it easy for them to pay their rent on time
  3. Use effective dialogue to help communicate rent collection matters with tenants

Topic 3: Routine Inspections

  1. The purpose of a routine inspection
  2. How to plan inspections month in advance and complete them 100% of the time
  3. The essential pre and post-inspection communications you should be having with landlords and tenants

Topic 4: Repairs and Maintenance

  1. Centralise all maintenance requests within one system to improve visibility and accountability.
  2. Assess and prioritise maintenance based on urgency, impact, and compliance with legislation.
  3. Communicate clearly with Landlords to manage expectations and reinforce professional processes.
  4. Educate Tenants to report maintenance accurately and understand their responsibilities.
  5. Equip the internal team to follow the same structured workflow for logging, tracking, and closing maintenance tasks.
  6. Partner effectively with tradespeople through onboarding, system integration, and relationship management.


Topic 5: Tenancy Agreements and Rent Adjustments

  1. Use data to support your conversations during the tenancy renewal process
  2. Key steps to effectively manage the tenancy renewal process

Topic 6: End of Tenancy

  1. Set your tenants up for a successful vacating experience
  2. Reduce the volume of disputes by taking a proactive approach to the vacate process
  3. How to refund the majority of bonds in full within 24 hours
